Our Approach
1. Project initiation
Chartertech will work with you to agree on project governance structure, purpose of the time and motion study, and define requirements and parameters.
A clearly defined basis for the time and motion study will communicate to stakeholders why and how the study is to be conducted, what will be required of stakeholders and what the study aims to achieve. Identified objectives of the study will assist in defining the scope of the study. Chartertech will assist the client to determine the duration of the survey, the extent of work related tasks to be measured, and the level of detail they are to be measured at, in accordance with time and budget constraints.
2. Installation, integration and activity listing
Chartertech will setup the WorkForms+™ environment, ensure compatibility with existing systems, and work with you to define an exhaustive list of work activities to be timed.
Working closely with project management and information systems, Chartertech will setup the web-based the WorkForms+™ environment. With a focus on streamlined integration and compatibility, Chartertech will aim to ensure the WorkForms+™ installation is a seamless process. In building out the activity dictionary, Chartertech will work with the client to ensure all work related tasks are cataloged and their component processes listed at the level of the lowest common denominator of unit of work.
3. Staff engagement and training
Chartertech will assist in communicating to staff why and how the study is to be conducted. Chartertech will also produce a bespoke e-learning platform, including interactive demonstrations and training documentation.
Critical to the carrying out of an effective Time and Motion study is the communication to staff why the study is being carried out, what the study aims to achieve and what will be required of them for the purposes of the study. Chartertech and project management will ensure these messages are presented to staff in an informative manner. To assist users in using WorkForms+™ to record activity timings, Chartertech will produce a holistic range of training materials including interactive demonstrations produced using Adobe Captivate, exhaustive user guides, quick reference guides, and fact sheets.
4. Data collection, analysis and documentation
Chartertech will undertake a thorough analysis of the time and motion data collected by WorkForms+™, sanitise data where necessary, produce What-If scenarios for client evaluation, and document findings.
Utilizing time and motion survey data, Chartertech will identify activities which are being carried out inefficiently or unnecessarily, or non-core or low value add activities which are taking up resources which would be more efficiently utilized elsewhere. Data captured in the initial period of the survey will be analyzed to ensure users are correctly assigning time to activities. Any data recorded incorrectly should be excluded from results and users should be provided feedback as to how to correctly record time.
5. Reporting and Handover
Chartertech will finalise and report on, and handover collected data relative to study objectives and advise on process improvements.
Chartertech will review data for all activities, especially those for which improvements were applied, and compare against previous process. Analysis of changes in outcome will determine if expected results were achieved. At the conclusion of the survey, findings of data collected and process improvements made as per initial objectives will be reported and analysed data handed over.
Software purchase
For clients with existing capacity and capability who wish to self-manage the time and motion study, the option to purchase the WorkForms+tm software as a stand alone product is provided.
